
The Faculty of Education at the University of Melbourne, through the Ngarrngga program is collecting and processing your personal information to:
provide relevant curriculum resources and tools to enhance the teaching of Aboriginal and Torres Strait Islander histories, cultures and knowledge systems
analyse the impact of resources made available to educators to inform future policy and practices
help evaluate and improve your user experience with Ngarrngga
manage your subscription to the Ngarrngga newsletter and other communications about Ngarrngga events and resources
manage your inquiry about participating in Ngarrngga research
manage your RSVP to Ngarrngga events
inform general business analysis, quality assurance, reporting and planning activities
The “processing” of personal information refers to all activities relating to the management of your personal information, from its collection and use, through to its storage and disposal, and everything in between.
We will process your personal information as necessary for our legitimate interests, in accordance with applicable privacy laws, and only under the following circumstances:
for the purpose for which it was collected; or
a related purpose which you might reasonably expect; or
where you have consented to the processing; or
if we are required or permitted to do so by law.
We will collect your personal information directly from you wherever possible. However, where this is not practicable, we may collect minimal contact information (such as a name and professional email address) from publicly available professional sources.
Your personal information may be processed in different ways, depending on the nature of your interaction with the Ngarrngga program as described in the following table:

Submit an enquiry, request, or expression of interest | Details you provide when submitting an enquiry (e.g. via ngarrngga-team@unimelb.edu.au) or registering your interest in Ngarrngga activities are used to manage and correspond with you about your enquiry, request or expression of interest. |
Register to attend an event or program (in-person or online) | Information you provide when registering for or attending Ngarrngga events, or manage an inquiry or EOI about participating in research is used to facilitate your involvement with the event or program, including any correspondence necessary to manage your registration, attendance or other related request. Information related to dietary or accessibility requirements is collected for some events to better understand and accommodate your requirements. Your information may be provided to third parties where events are co-hosted (with third parties engaged by us) only as necessary to manage your registration, attendance or other related request. We may photograph/record events (in-person and online) and make them publicly available in Ngarrngga’s and the University’s publications, websites to promote Ngarrngga’s work. Where you do not wish to be photographed or recorded, you can contact event staff, and in online formats choose to keep your camera switched off, remain muted, and refrain from typing in the chat during the event. |
Participate in user experience including feedback surveys and inform general business analysis, quality assurance, reporting and planning activities | Where you have opted-in to receive Ngarrngga communications, we may occasionally invite you to respond to a feedback survey about our educational materials and events. Details about your participation or feedback is used to improve our educational offerings and your experience with the Ngarrngga program. |
With your consent, we will collect sensitive information about you including if you identify as being of Aboriginal and/or Torres Strait Islander origin. This will be used to report back to the Ngarrngga program team and/or project sponsor in a de-identified and aggregate form.
We may share your personal information with contracted service providers or partners engaged by us to perform legitimate functions on our behalf, including:
HubSpot Australia as the platform to store and manage subscriber, stakeholder, and curriculum trial participant information (as the Customer Relationship Management system for the Ngarrngga program).
Eventbrite an external event-management platform to administer event registrations and communicate with participants.
The HubSpot Cloud Infrastructure and Data Hosting environment is hosted on Amazon Web Services (AWS) in Sydney, Australia. However, in some instances, your personal information may be transferred outside of Victoria or Australia (for example, where system-support providers are located internationally or use a cloud-based system with servers based in international jurisdictions). We take all reasonable steps to ensure that the interstate or overseas transfer of personal information is in accordance with our privacy obligations as outlined in the University’s General Privacy Statement.
We will hold the personal information you provided us with, and after seven years of inactivity, the data will be securely destroyed in compliance with the University’s retention and disposal authority.
If you choose not to provide the information requested, we may be unable to provide you with a personalised experience of Ngarrngga, including communications customised to your stated interests.

You may request access to, or correction of, your personal information we hold, or exercise your individual rights as applicable under relevant privacy laws, unless this would have an unreasonable impact on the privacy of others or would contravene the University’s other legislative obligations.
If the lawful collection of your personal information is based on your consent, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of our processing of your information prior to you withdrawing your consent.
